Summary of Responsibilities:
As a Programme Assistant, you will support the Programme Specialist (Team Lead) in executing administrative, operational, and procedural tasks to facilitate the development, implementation, and monitoring of the country programme. Key responsibilities include managing contracts, processing invoices, maintaining records, providing logistical support, and assisting with travel arrangements.
Key Functions/Accountabilities:
Contract Processing and Administrative Support (30%):
- Facilitate the processing of contracts for consultants, vendors, and external partners.
- Collect and file documents for approval, complete necessary forms, and maintain vendor lists.
- Assist in maintaining records and documents for project monitoring and financial expenditures.
Office Management and Logistical Support (25%):
- Manage administrative supplies and office equipment.
- Maintain office calendar, arrange meetings, and take minutes.
- Provide travel assistance to staff members, liaising with travel focal points for optimal service.
Recordkeeping and Programme Support (20%):
- Maintain records related to programme planning and development.
- Carry out transactions in VISION to ensure accurate programme coding and adherence to work plans.
- Support capacity development activities, meetings, and conferences by making logistical arrangements.
Qualifications:
- Education: Completion of secondary education; technical or university courses related to the organization's work preferred.
- Experience: Minimum 5 years of progressively responsible administrative or clerical work experience required.
- Skills: Proficiency in MS Word, Excel, PowerPoint, SharePoint, SAP, and online applications; experience in a UN system agency advantageous.
- Language: Fluency in English and the local language of the duty station required.
